Coming soon BACP Ethical Framework 2026 · from 3 November

Your clinical will, always up to date.

BACP’s 2026 Ethical Framework asks every member to have a clinical will and a named executor. Clarity is adding one that keeps your client list current for your executor, and opens it only if you don’t say no.

How it will work

What’s included

Run your practice, your way.

  • Client management

Keep profiles, session history and assigned check-ins together. Invite clients to the portal when it adds value, or manage them fully even if they don't have an account.

  • Scheduling, payments & invoicing

Set your own booking and payment rules, let Clarity draft each client’s invoice at the end of the month, and choose whether sessions left unpaid are cancelled once they’ve passed.

    Scheduling Invoicing & payments

  • Tax time & your accountant

See your tax year laid out the way Self Assessment asks for it, download it for your accountant, or send your income and expenses straight to Xero. Client names never leave Clarity.

    Tax year & Self Assessment

  • Outcome measures & check-ins

Assign PHQ-9, GAD-7, CORE-10 or your own check-ins. Review auto-scored results and trends over time.

    Outcome measures

  • More value between sessions

Give clients a private place to see their sessions, check in, revisit shared resources and send you practical messages. No app to install.

  • CPD & supervision tracking

Record CPD and supervision, then export as needed.

  • Privacy & accountability

Protect records with role-based access, per-practice data separation and client-side encryption for session notes. Every change is audit-logged.

    Session notes

  • Clinical wills

Nominate a trusted colleague and choose exactly what they can see if you become unable to practise. Access is read-only, revocable and recorded in the audit log.

Secure by design

Human care. No AI in the loop.

Clarity does not use AI to write, summarise, score or analyse your client records. We believe sensitive therapeutic information belongs in a secure practice system — not in an AI model.

  • Your practice data is never sent to an AI model
  • Session notes are encrypted in your browser before storage
  • Access is controlled and changes are recorded in an audit log

FAQ

Common questions.

What is counselling practice management software?

It keeps the admin side of a counselling practice in one place: client records, bookings and reminders, session notes, payments and invoices, and outcome measures. Clarity is counselling software that does all of that for UK counsellors and psychotherapists, so you spend less time on paperwork and more with clients.

Who is Clarity for?

Counsellors, psychotherapists and therapists in private practice in the UK, from someone just starting out with a few clients to a busy practice with a full caseload. Plans start at £7.99 a month.

Is there a free trial?

You can explore the full demo with sample data. Enter your email and we’ll send you a link — there’s no account to create and no card.

How hard is it to get started?

No technical knowledge is needed. Guided walkthroughs explain each part of Clarity the first time you use it, and you can configure the features around the way you already run your practice.

Can I configure Clarity around the way I work?

Yes. Clarity is designed to fit the way you work, with optional features you can switch on or off. If something is missing, it is easy to request it from inside the app — and when enough practitioners ask for it, we will build it.

How easy is it to import and export my information?

Use the supplied CSV templates to import existing clients and past sessions, including dates, fees and notes, with a preview before anything is added. You can export a copy of your practice data at any time from Settings, including clients, sessions, attendance, payments and notes. Unlock encryption first if you want encrypted note text included in the export.

Will Clarity help at tax time?

Yes. Finances → Tax year totals your income and allowable expenses for 6 April to 5 April, grouped into the categories the Self Assessment form uses, and you can download a summary or every transaction for your accountant. If you use Xero, connect it once and send your income and expenses across without retyping them. Client names are never included in either. Clarity doesn’t file your return for you.

How is my information stored?

Your practice data is kept separate from other practices and stored on encrypted infrastructure. You can use codenames so clients’ real names do not need to appear throughout Clarity. Sensitive business contact details and bank details are encrypted at rest, and session notes are encrypted in your browser before they are stored.

What if a client doesn’t join the app?

That’s fine — they don’t have to. Offline clients are managed entirely by you: sessions, notes and payments, with confirmations and reminders still emailed to them. Send a portal invite whenever it makes sense, or never. Clients need to be 13 or over for their own login, and under-16s need a parent or guardian’s consent; younger clients can be worked with as offline clients.

Is there support if I get stuck?

Yes — email hello@withclarity.uk any time and we reply ourselves, not a ticket queue. There’s also a feedback button inside the app for reporting bugs or requesting something we’re missing.

Can I pause, cancel or delete my account?

Yes to all three. Cancel from Settings → Manage subscription and access continues to the end of the period you’ve paid for; if a subscription lapses the account goes read-only and nothing is auto-deleted. Pause yourself from Settings → Profile to stop billing and keep your records. Deleting your account is permanent and immediate, so you’re offered a full export first. We never sell your data.
