Appointment scheduling software for counsellors
Book sessions in a few clicks, keep your week in one calendar, and let Clarity send the reminder emails. Built for UK counsellors and psychotherapists in private practice.
Book a session in three steps
From your calendar, choose Create a session, or click an empty slot. The booking form takes you through three steps: date and location, session and fee, then confirm.
- Sessions are in person, at one of your saved addresses, or remote, with a meeting link if you add one.
- Set up your session types once, each with its own length and price. You can still change either for a single booking.
- Clarity checks for clashes, so you can’t double-book yourself.
- Book offline clients too: people who don’t have a Clarity account.
Weekly sessions and block bookings
Most clients come at the same time each week. Clarity gives you two ways to book that.
- Repeat weekly books up to 52 sessions at once. Each one is priced and paid separately.
- A block booking is a set number of weekly sessions, from 2 to 52, for one price paid together.
You decide whether clients can ask to cancel a single session from a block. Once a block is fully paid, its sessions can’t be cancelled one at a time.
Your week at a glance
- Week, work-week and day views. Clarity opens on the one you prefer.
- Each client has their own colour in the calendar.
- An optional shaded gap after each session, from 5 to 30 minutes, to leave time for notes. It’s a guide and doesn’t block bookings.
- Drag a session to a new time, and choose whether to email the client about the change.
- Set your working hours as weekly windows, then add time off or extra availability for particular dates.
Reminder emails clients can act on
- Clarity emails each client a reminder before their session: 1, 2, 3, 5 or 7 days ahead, as you choose.
- If a portal client hasn’t paid yet, the reminder has a Pay now button. For remote sessions it includes the link to join.
- Clients also get an email when a session is booked, moved or cancelled. You can change the wording of each email, or pause it, in Settings.
- Offline clients get these emails too, as long as you’ve added their email address.
- You can switch reminders off for a single booking.
Reminders are sent by email. Clarity doesn’t send text messages.
You get reminders too: an in-app reminder before each session, from 1 hour to 2 days ahead, so you can prepare. Mute it for any client.
When a client needs to change a session
- Clients with a portal account can ask to move or cancel a session. Nothing changes until you approve it, and you get an email and an in-app notification.
- When they ask to move a session, they pick from free times inside your available hours.
- You choose how close to a session they can still ask, from 12 hours to a week before.
- If you cancel a session yourself, you can add a note, choose whether to email the client, and refund a card payment.
Clients can’t book new sessions themselves yet. You book them, and clients see each session in their portal.
Your own calendar app
Download any session as a calendar file and add it to Google Calendar, Outlook or Apple Calendar. Clients can do the same from their portal.
Automatic sync with Google Calendar and Microsoft Outlook, with Teams links for online sessions, is coming soon.
Common questions
Can clients book their own sessions online?
Not yet. You book sessions for your clients, and they can see them in their portal and ask to move or cancel them.
Does Clarity send text message reminders?
No. Reminders go by email, 1 to 7 days before the session, as you choose. Clients with a portal account also get a notification in the app.
Can I book a block of sessions?
Yes. Repeat weekly books up to 52 sessions, each paid separately. A block booking is between 2 and 52 weekly sessions for one price.
Does it sync with Google Calendar or Outlook?
Automatic sync is coming soon. For now you can download any session as a calendar file and add it to Google Calendar, Outlook or Apple Calendar.
Can I book clients who don’t use the app?
Yes. Add them as offline clients and book their sessions as normal. If you add their email address, they still get booking emails and reminders.
