Card payments into your own Stripe account

Connect your Stripe account in Settings, under Billing, and switch on card payments. Clients can then pay by card from their portal, for a single session, a block of sessions or an invoice.

  • The money goes into your own Stripe account. Clarity doesn’t take a cut; Stripe’s standard fees apply.
  • When a client pays by card, the session or invoice is marked paid for you.
  • If you cancel a session a client paid for by card, you can refund it as you cancel.
  • Card payments stay off until you switch them on, and you can disconnect Stripe at any time.

Bank transfers, without the chasing

  • Add your bank details once, in Settings under Practice. Clients see them with a button to copy each one, and they print on unpaid invoices.
  • When a client has paid for a session by transfer, they can mark it as paid. It shows as pending until you confirm or decline it, and the client gets an email either way.
  • You can record any other payment yourself, such as cash.

Invoices, drafted for you

  • Switch on monthly invoices and Clarity drafts each client’s invoice for the month just gone. Nothing is sent until you’ve checked it.
  • Or create an invoice yourself, with your own lines or straight from a client’s sessions.
  • Invoices are numbered for you, from INV-0001, with your payment terms, payment instructions and notes. You choose the colour of the PDF.
  • Email an invoice, with the PDF attached, to any client with a portal account. For offline clients, download the PDF and send it yourself.
  • Clients see their invoices in their portal, and can pay them by card if you’ve switched card payments on.

Invoices don’t include VAT.

See who has paid

  • The Payments page shows what you’ve received, what’s still owed, and how many sessions are paid or unpaid.
  • Filter by client, or by paid and outstanding, and mark several sessions paid or unpaid at once.
  • If a portal client hasn’t paid for an upcoming session, their reminder email has a Pay now button.

  • Connect Xero once in Settings, under Billing, then choose Send to Xero whenever you’re ready.
  • Payments go across as money received and expenses as money spent, using the account codes you pick for each HMRC category.
  • No client names are sent. Income is filed under one contact, Counselling clients.
  • Nothing is sent twice.
